The Parish Administrative Coordinator is responsible for providing day-to-day assistance to the Pastor in implementing the parish's vision. This position supports the Pastor and Parishioners and serves as the parish's front-facing representative.
REPORTS TO Pastor, Business Manager
DUTIES AND RESPONSIBILITIES
Ideally, the Parish Administrative Coordinator position is a four-day-per-week position (32 hours), Tuesday through Friday. Flexibility in these hours may be needed to respond to specific project deadlines or parish needs. There may be times throughout the Liturgical year when this employee will be needed to work evenings and/or weekends.
Direct Office Management Support
Parish Member Outreach Coordinator
Ensures outreach to parishioners as directed by the Pastor
Parish Communication Coordinator
Works with the Pastor and Business Manager to help produce both digital and print materials for internal and external communications. (Facebook, Canva, InDesign etc)
Parish Sacramental Records Coordinator
Assures all Sacramental records, i.e., Baptism, Confirmations, Marriage, etc., and documents are up to date and secure.
Parish Database Coordinator
Maintains the database of parishioner information
Parish Volunteer Coordinator
Maintains the database of volunteers for both the parish and the school (VIRTUS)
Assistant to the Pastor
Manages and coordinates any special projects as assigned by the Pastor.
Consult with the Pastor to ensure the smooth and orderly functioning of the parish.
Promotes a positive Pastoral work atmosphere and professional collegiality among parish personnel and the Pastor.
Assist with Bereavement Funeral Ministry
Direct Support to the Business Manager
Manages and coordinates any special projects as assigned by the Business Manager.
Records contributions
Organizes the counting of offertory collections
Files invoices
To apply for this position, you must meet the following criteria:
Be a practicing Roman Catholic Adult
Attend Virtus training and authorize a background check regularly.
Possess excellent oral, written, and interpersonal communication skills.
Strong attention to detail
Ideally, have 3 to 5 years of previous office secretarial experience and be proficient in clerical functions.
The employee must occasionally lift and/or move anywhere up to 30 lbs. (Cases of bottled water, copy paper, etc.)
Have experience working with groups of people and the ability to establish and rearrange priorities.
Understand the role of the pastor and other parish employees and assist them in fulfilling their ministries.
Ability to work independently or with staff members to complete projects.
Approach people in a manner that creates harmony and promotes cooperation.
Possess strong computer skills and comfortable working in a digital office, including Apple Mac OS X, Microsoft Office Suite, Google Workspace, Adobe InDesign, Canva
The ability to be trained on parish-specific database software
Familiarity with Social Media, including Facebook
